PRO JIU JITSU POLICIES & TERMS
Code of Conduct
1. Application & Consent:
This Code of Conduct applies to all members and instructors of Pro Jiu Jitsu and sets out the values and principles that guide our organisation’s culture.
Members must ask permission before recording, taking photos, or sharing content of training partners.
Pro Jiu Jitsu operates CCTV inside the gym for safety, security, and safeguarding purposes.
By joining Pro Jiu Jitsu, members give consent for training sessions or events to be recorded and uploaded to our official social media for promotional or educational purposes.
If a member cannot appear on social media (e.g., for religious or personal reasons), they should inform the Head Instructor, and we will respect their wishes.
2. Enjoyment:
Our primary goal is for all members to enjoy their time at Pro Jiu Jitsu. While classes can be challenging, every instructor and member holds a duty of care to ensure a positive, supportive, and enjoyable experience for everyone.
3. Inclusion & Cooperation:
We are committed to fostering a friendly, inclusive, and welcoming environment. We promote teamwork and positive attitudes, recognizing that while Jiu Jitsu is competitive, there is a time and place for competition.
4. Respect:
All members and instructors shall treat each other with respect and equality, regardless of race, creed, gender, nationality, or other differences. Respect for the belt rank hierarchy and Black Belt authority is fundamental.
Respect for training partners’ boundaries is essential—always ask permission before rolling and respect if someone declines.
We uphold the UK’s Equality Act 2010, ensuring an environment free from discrimination based on race, gender, religion, sexual orientation, disability, or age.

5. Continuous Improvement & Growth:
Jiu Jitsu is a lifelong journey. The Black Belt is a milestone, not an endpoint, symbolizing dedication to continuous improvement as both practitioners and individuals.
6. Leadership:
Instructors must lead by example, maintaining professionalism at all times and avoiding misuse of their trusted position. Their actions influence students both inside and outside the gym.
7. Privacy & Confidentiality:
Members must respect the privacy of others and adhere to GDPR regulations. Sensitive information (health details, emergency contacts) is securely stored and accessed only by authorized personnel.
8. Anti-Bullying & Harassment:
Pro Jiu Jitsu has a zero-tolerance policy for bullying and harassment. Any such behaviour should be reported to the Head Instructor or designated staff.
9. Neutral Training Space:
To maintain a respectful and drama-free environment, members are asked not to wear or display political messages, patches, logos, or slogans on uniforms, gear, or clothing while training at the gym.
This policy applies only within the gym.
The purpose is to keep our mat culture focused on Jiu Jitsu, free from unnecessary tension or division.
Any gear displaying political or controversial content may be kindly asked to be left at home.

10. Social Media & Gym Representation:
No posting training footage of others without their permission (outside of official gym recordings).
The gym logo/brand may not be altered or used for personal projects without approval.
11. Commitment & Punctuality:
Arrive on time for classes; late arrivals should wait at the mat’s edge until given permission to join by the instructor.
Consistency, effort, and mutual respect are valued above natural talent or competition results.
Health, Safety & Welfare Policy
Pro Jiu Jitsu is committed to providing a safe and healthy training environment, ensuring compliance with UK health and safety legislation.
Key Principles:
Equipment Safety: All equipment is selected, maintained, repaired, and replaced as needed.
Safe Handling of Substances: Hazardous items are stored and handled safely.
Clear Access: Training areas, exits, and entrances must remain clear and accessible.
Cooperation in Safety: All members must comply with safety measures and report concerns immediately.
Risk Assessments: Regular risk assessments identify and minimize potential hazards.
First Aid & Emergency Response:
Qualified first aiders are present during training sessions.
A well-stocked first aid kit is available on-site.
Emergency contact details are kept for each member.
Mental Health Awareness:
We support the mental well-being of our members.
A Mental Health First Aider may be appointed for additional support.
Reporting Health & Safety Concerns:
Concerns should be reported to the Health & Safety Officer or Head Instructor.

Children’s Safeguarding Policy
Pro Jiu Jitsu is committed to safeguarding children under the Children Act 1989, 2004, and the latest Working Together to Safeguard Children (2018) guidance.
Our Commitment:
Safe Environment: We provide a child-centred, positive experience.
Protection from Abuse: We actively prevent abuse and harm.
Key Measures:
All instructors receive safeguarding training.
All staff working with children undergo enhanced DBS checks.
Safeguarding concerns are documented securely and handled sensitively.
Parents/guardians must provide written consent for minors, including medical consent.
Reporting Concerns:
Concerns must be reported immediately to the Designated Safeguarding Officer (DSO).
Reports are confidential and handled in line with legal requirements.

Whistleblowing Policy
Pro Jiu Jitsu encourages members and staff to report concerns regarding safeguarding, health, or safety. Reports can be made anonymously and without fear of retaliation.

Terms of Service
Monthly Direct Debit:
Payments are taken monthly from the sign-up date.
Example: if you sign up on 20th March, your payment covers training until 19th April, with the next payment due on 20th April.
Minimum Contract Term:
A six-month minimum contract applies.
After six months, the contract transitions to a rolling month-to-month basis.
Freezing Membership:
Members may freeze their membership for valid reasons (illness, holidays, Ramadan, etc.).
A £20 freeze fee applies to help maintain gym operations.
Freeze requests must be made in advance and for a set period agreed with management.
Cancelling & Rejoining:
If you cancel and later rejoin, a £20 admin fee applies.
Cancellations require at least two weeks’ notice before the next billing cycle.
No cancellation fee applies beyond the minimum contract term.

Closures:
From time to time, the gym may be closed for public holidays (e.g., Easter, Christmas, New Year), scheduled maintenance, or instructor sickness.
Members will be notified of closures as early as possible.
Fees will not be reduced for short-term closures, as membership covers overall access and running costs, not individual class attendance.
